    Notice is hereby given that the 2017 Annual General Meeting of members of The Guildford Grammar School Parents and Friends (P&F) Society will be held in the Foundation Pavilion, Preparatory School grounds, on Thursday 23 October 2017 at 7.00 pm.
    1. Financial Report
    To receive and consider the Financial Report for the year ended 31 October 2017 and the report of the Auditor.

    Committee and sub-committee Reports  
    To receive and consider the committee and sub-committee reports for activities and achievements in 2017.
    1. To re-elect or elect Committee of Management and Office Bearers for sub-committees.
     As per the P&F Constitution, all Committee and Office Bearer positions become vacant at each AGM. Members of the P&F community may nominate for the positions. Nomination details are below.
    1. To re-elect or elect the P&F Representative to the School Council.  
    In accordance with the Constitution of the School Council and Parents’ & Friends’ Society the position of P&F School Council Representative becomes vacant once every 3 years. Members of the P&F community who meet the requirements of the position may nominate. Nomination details are below.

     How to Nominate
    Self-nomination or nominations by a third party will be accepted to the above vacant positions.
    Nominations for the positions must be received in writing via email to the P&F Secretary at p&f@ggs.wa.edu.au by 5pm Monday 23 October 2017.
    All third party nominations must copy the nominee in the email.
    If nominated by a third party, the nominee must confirm or decline the nomination by email.
    If the nominee does not accept by the nomination deadline, the nomination will not be published in the School Bulletin.
    All nominations must clearly state the nominee’s full name, the nominated position by title of the committee and then position, including the nominee’s email address and contact phone number.

    1. Nomination to the P&F Representative to the School Council
     The P&F Representative to the School Council is an elected Fellow to the Association of Guildford Grammar School Incorporated. Being a Fellow of Council is an extremely important role carrying great responsibility in the governance of the School. The School Council consists of 12 Fellows, one Fellow is elected by the P&F to represent the P&F. A Fellow is elected for a three year term and may serve up to three terms for a total of nine years.
    Pre-requisites to be eligible to nominate for P&F Representative to the School Council
    A person is eligible to serve as a Fellow of Council if, and only if, he or she:
    • Is a communicant member of the Anglican Church;
    • Is not disqualified from managing a corporation for the purposes of Part 2D.6 of the Corporations Act 2001 (Cth);
    • Is not an employee of the Association, or married to or in a permanent relationship with an employee of the Association;
    • Is at least twenty-five years of age;
    • Permanently resides in Western Australia;
    • Is a member of the Parents’ & Friends’ Society Incorporated and can demonstrate previous service to the P&F Society and community;
    • Can demonstrate an understanding of their obligations and fiducial duties; and
    • Can produce a police clearance at both state and federal level, if elected.
    Candidates are to provide a Curriculum Vitae detailing their identity, membership status to the P&F Society, qualifications, experience and involvement in Guildford Grammar School, plus any additional relevant information deemed appropriate by the candidate or the P&F Committee, upon nomination.

    • Nominations must be accompanied with a Curriculum Vitae as outlined above.

    Process of Nominations for P&F Representative to the School Council
    • The nomination period will close at 5pm Monday 23 October 2017.
    • Nominations will be confirmed by the P&F Secretary, and candidates will receive an email of acceptance on the closing date of nomination.
    • Candidates will be required to declare they are Fit and Proper to be nominated as a P&F Representative nominee to the School Council.
    • Candidates will be required to attend an interview with a Committee comprising of the current P&F President or Vice-President, School Council Chair or Vice Chair, and one other member of School Council, to understand the role and satisfy any conditions that may now or in the future be applied by the Committee, School Council or Diocesan Council.
    • This process will confirm if the candidate is Fit and Proper to stand as a nominee for the role and candidates will be advised accordingly by 5pm Friday 10 November 2017
    • Candidates need to be aware that their Curriculum Vitae will be distributed to the P&F membership via the School electronic bulletin or any other media as seen appropriate by the Committee prior to the election date.
    • If more than one nomination is accepted for a position, all nominees will be published and given the opportunity to provide a short biography for the School bulletin on Wednesday 15th November 2017.
    1. Election Process
    Single nominations will be automatically appointed. An election for positions will be conducted if more than 1 x nomination is accepted for a Committee of Management position, sub-committee Office Bearer position or for the P&F Representative to School Council position.
    P&F Members are eligible to vote. Members must be physically present at the AGM to vote – Proxies are not permitted. The election will be conducted by Secret Ballot. A member may only vote once for each position. The Returning Officer will be the GGS Director of Community Relations – Mr Richie Longson.
    Nominees will not be given the opportunity at the AGM to speak to their election.
